About the role
The Receptionist is the first point of contact for the Louise building, ensuring every visitor, contractor and tenant receives a warm, professional welcome. You will manage the flow of people, deliveries, calls and mail while maintaining a safe and hospitable environment.
Key responsibilities
- Sign‑in visitors and contractors using The Louise App or email, and announce arrivals according to company standards.
- Issue, disable and manage access‑control passes in coordination with the security team.
- Direct maintenance requests through the “follow me” app, The Louise App or Ility and log them on behalf of tenants.
- Update the daily reception report and share it with building colleagues.
- Allocate parking, manage post and deliveries, and place items in designated “bring me boxes”.
- Prepare welcome packs, manage stock of building merchandise (umbrellas, tote bags, cups, water bottles).
- Support the building‑benefits programme and communicate offers via The Louise App and LinkedIn page.
- Maintain supplies in the quiet area, print and display notices, and apply health‑and‑safety policies.
- Process Stripe payments, handle meeting‑room bookings in Ility, update Outlook calendars and coordinate with security, cleaning and building management.
- Troubleshoot AV and tech issues in meeting rooms, raise support tickets, and assist with event check‑ins.
Required profile
- Professional and friendly demeanor with strong customer‑service orientation.
- Ability to work independently and follow established procedures.
- Attention to detail and ability to manage multiple tasks simultaneously.
