About the role
We are looking for a proactive Legal Secretary and Receptionist to join our Brussels office. The successful candidate will deliver high‑quality secretarial support to lawyers and ensure a smooth front‑of‑house experience for clients and visitors.
Key responsibilities
- Manage lawyers’ inboxes and diaries, handle time‑recording and travel arrangements.
- Prepare, edit, scan, photocopy and format legal documents, including mark‑ups and automatic paragraph numbering.
- Maintain document archives in iManage and support matter opening, conflict checks and invoice processing via Chrome River.
- Operate the reception desk: answer calls, greet visitors, issue temporary badges, organise meetings and conference‑room set‑up, and replenish office supplies.
- Coordinate couriers, taxis and catering, and liaise with senior administration managers on absence and operational matters.
Required profile
- Previous experience in a law‑firm environment.
- Strong organisational abilities and a professional, courteous manner.
- Excellent communication skills with lawyers, clients and international teams across multiple time zones.
- Certificate or diploma in secretarial studies (BAC+3 preferred).
Required skills
- Microsoft Word, Excel, PowerPoint and Outlook.
- iManage document‑management system.
- Chrome River expense and invoice submission.
- Document formatting, conversion and automatic paragraph numbering.
