About the role
As the Office Manager for Publicis Groupe Belgium in Brussels, you will ensure the office runs smoothly and provides a welcoming environment for staff and visitors. Reporting to the Head of Operations, you will collaborate with HR, Finance, client teams and external partners to keep daily operations efficient.
Key responsibilities
- Oversee day‑to‑day office administration, including supplies, equipment, and vendor relationships.
- Manage reception duties, phone calls, mail, deliveries and guide clients.
- Supervise cleaning, maintenance, security services and ensure shared spaces (kitchen, meeting rooms, reception) remain tidy and functional.
- Control access badges, parking tickets and coordinate meeting‑room bookings and workspace reservations.
- Support HR on employee‑engagement initiatives, office events and cultural activities.
- Provide administrative assistance to various departments and act as the first point of contact for facilities issues.
Required profile
- Strong organisational and problem‑solving abilities.
- Excellent communication skills and a friendly, professional demeanor.
- Ability to work autonomously while collaborating with cross‑functional teams.
- Attention to detail and proactive attitude towards office needs.
Required skills
- Proficiency with standard office software (e.g., Microsoft Office or Google Workspace).
- Experience managing vendors, office supplies and facilities.
