About the role
Aerospacelab, which designs and manufactures small satellites and develops earth observation services, is growing its institutional business and needs an Institutional Bid Coordinator. The role strengthens the link between opportunity identification and contract signature, supports project teams after a contract is won, and works alongside programme managers, solution engineers and the business development lead. It is a coordination and proposal role at the intersection of institutions, engineering, finance and legal.
Key responsibilities
- Coordinate end-to-end preparation of ESA and EU-funded proposals (invitation-to-tender responses, outline and full proposals) in line with agency templates, page budgets, volume structures and deadlines
- Support relations with national delegations and ESA programme contacts, including letters of support, briefing notes and follow-ups
- Monitor ESA and EU programme activity and maintain an opportunity pipeline and bid calendar
- Coordinate consortium set-up with partners and subcontractors, including contact management, roles, work breakdown structures, effort allocation and teaming agreements or MoUs
- Help Project Managers set up awarded contracts, including kick-off, deliverables, schedules, risk registers and progress reporting
- Manage clarification and negotiation logistics with ESA, combining technical, financial and legal inputs
Required profile
- Bachelor's or Master's degree in engineering, science, business or equivalent
- Fluent in English
- 1+ year of experience in a coordination, bid, proposal, project-support or institutional-affairs role, ideally in space, defence or publicly funded research
- Organised, able to run several parallel bids and deadlines with minimal oversight
- Proactive and comfortable chasing inputs across engineering, finance and legal teams
Required skills
- Familiarity with AI tools such as ChatGPT, Claude and Copilot, used to speed up proposal drafting, review and compliance checking
- Nice to have: familiarity with ESA programmes (ARTES, GSTP, NAVISP) and EU instruments (Horizon Europe, EDF), hands-on experience with ESA proposal templates and PSS cost forms, exposure to satellite systems
What we offer
- Permanent contract
- Flexible ways of working
- Flat hierarchy and direct impact on company growth
- Salary package consistent with experience
