Workplace Operations Coordinator

About the role

As a Workplace Operations Coordinator you will ensure the smooth running of our Brussels office, supporting the local team with facilities, vendor management and day‑to‑day operational tasks. You will act as the main point of contact for maintenance, health & safety and internal communications, helping to create an environment where everyone can perform at their best.

Key responsibilities

• Coordinate daily facilities operations and manage help‑desk tickets (Jira) as the point of contact.
• Liaise with suppliers for repairs, preventive maintenance and office supplies.
• Oversee local workplace spending, raise purchase orders, reconcile invoices and work with finance to control the budget.
• Maintain tracking sheets for fleet and energy data to support efficient operations.
• Manage vendor and landlord relationships, ensuring contracts are up‑to‑date.
• Support health, safety and security compliance, act as emergency contact and keep certificates current.
• Administer site communication channels (Slack, email, physical postings).
• Assist with ad‑hoc projects, meeting room setups and event catering.
• Partner with the global fleet team to manage company vehicles and employee enquiries.

Required profile

• Fluent in English and French; Dutch is a plus.
• Experience in administration, facilities support or a related operational field.
• Practical exposure to office management processes, either professionally or through community activities.
• Proactive, multitasking mindset with strong organisational skills.
