About the role
We are seeking a Reception & Administrative Officer to be the first point of contact for visitors and callers, while providing essential administrative support in a professional office environment in Brussels.
Key responsibilities
- Welcome and assist visitors at the reception desk.
- Receive, screen, and transfer incoming telephone calls.
- Manage meeting room bookings and prepare rooms for internal and external meetings.
- Support administrative activities, including mail handling, document copying, and record keeping.
- Receive deliveries and coordinate their distribution within the organization.
- Assist the facilities team with various operational and administrative tasks.
- Maintain a professional and customer‑oriented reception service.
Required profile
- Minimum 1 year of experience in a reception, front‑desk, or administrative support role.
- Experience with meeting scheduling and meeting‑room coordination.
- Professional working proficiency in Dutch and/or French.
- Professional working proficiency in English.
- Strong organizational, prioritization and multitasking abilities.
- Professional appearance and a customer‑service mindset.
- Ability to remain calm and effective under pressure.
