Tech Management Assistant

About the role

The Tech Management Assistant supports the IT Leadership (ITL) and IT Area Leadership (ITAL) teams by ensuring smooth daily operations. The role focuses on calendar coordination, meeting logistics, travel arrangements, and administrative processes so that leaders can concentrate on strategic initiatives.

Key responsibilities

• Proactively manage and optimise complex calendars for ITL and ITAL, schedule and reschedule meetings, and prevent double‑bookings.
• Book meeting rooms, arrange catering, reserve restaurants, and handle parking for internal and external guests.
• Process expense claims, follow up on expense reports, and place orders through SpotBuy.
• Maintain distribution lists, mailboxes, and other administrative data.
• Support internal communication, prepare management team agendas, and update organisational charts for intranet publication.
• Coordinate cost‑efficient domestic and international travel, ensuring compliance with internal travel policies.
• Organise town‑hall meetings, off‑sites, workshops, and networking events, handling logistics and supplier coordination.

Required profile

• Strong organisational ability with a proactive approach to anticipating needs.
• Excellent communication skills and the capacity to act as a point of contact for leadership teams.
• Detail‑oriented mindset with the ability to manage multiple priorities simultaneously.
