About the role
We are seeking a highly experienced Executive Assistant & Office Coordinator to support senior leaders in a fast‑paced, international research environment. You will act as the right hand to senior management, providing structure, anticipating needs, and ensuring seamless coordination across multiple priorities.
Key responsibilities
- Manage complex, multi‑time‑zone calendars, anticipate conflicts and optimise schedules.
- Serve as the central point of contact between senior leadership, internal teams and external partners.
- Organise international travel itineraries, including flights, accommodation, visas and meetings.
- Coordinate executive‑level meetings, workshops, off‑sites and large‑scale events from planning to execution.
- Monitor workflows, action points and deadlines across initiatives to ensure timely follow‑up.
- Prepare high‑quality presentations, reports and documents with strong attention to detail.
- Handle confidential information with the highest level of discretion.
Required profile
- 8+ years of experience as a Management Assistant, Executive Assistant or similar role in a complex corporate environment.
- Proven ability to multitask, manage competing priorities and maintain composure under pressure.
- Excellent communication and interpersonal skills, with a proactive and solution‑oriented mindset.
