Document Management System Advisor (Fixed-Term)

About the role

The Document Management System (DMS) Advisor ensures that corporate documentation is accurate, consistent, traceable and easily accessible. The role improves process efficiency, preserves knowledge and supports the transition to a new Document Controller.

Key responsibilities

• Develop, maintain and continuously improve the JNBP DMS based on user feedback.
• Support users in creating and managing corporate documents and provide DMS training.
• Assist with the development and maintenance of the Business Management System (BMS) aligned to ISO standards.
• Onboard the new Document Controller and ensure smooth handover of DMS responsibilities.
• Report to the BMS manager and collaborate with multiple functions, especially the Document Control Team.

Required profile

• Bachelor’s degree or equivalent experience, preferably with document management education.
• 3–5 years of experience in a similar document management role.
• Excellent attention to detail, strong problem‑solving skills and a pragmatic, solution‑driven attitude.
• Professional proficiency in English, both spoken and written.
• Willingness to be based in Leuven with occasional travel.

Required skills

• Solid knowledge of SharePoint.
• Familiarity with ISO management standards (ISO 9001, ISO 14001, ISO 45001, ISO 27001).
