Service Parts Logistics Administrator

About the role

The Service Parts Logistics Administrator joins the ProtonTherapy Service Logistics team to manage the end‑to‑end flow of spare parts for proton therapy centres worldwide. The role ensures accurate order processing, timely deliveries, and a seamless customer experience throughout the service phase.

Key responsibilities

• Process, coordinate and deliver customer orders for spare parts across global sites.
• Maintain accurate stock levels in the ERP and user interface, reflecting physical inventory.
• Monitor and optimise consignment stock, supporting annual inventory counts.
• Handle logistics incidents, urgent deliveries, and reverse‑logistics for defective parts.
• Collaborate with internal teams (Planning, Warehouse, Transport, Inventory, Customs) and external 3PL partners.
• Prepare import/export documentation and manage customs‑related activities.
• Participate in continuous‑improvement projects and new consignment stock deployments.

Required profile

• Experience in logistics, supply chain, inventory management or order fulfillment.
• Strong organisational abilities and capacity to manage multiple priorities.
• Customer‑oriented, proactive and solution‑driven mindset.
• Fluency in English and French.

Required skills

• Microsoft Office (Excel, Outlook).
• ERP systems – preferably SAP.
• Salesforce familiarity.
• Customs processes knowledge.
• Experience working with 3PL logistics partners.
