Office Assistant – Reception & Facility Support

About the role

As an Office Assistant based in Louvain-la-Neuve, you will be the first point of contact for visitors, colleagues and suppliers, ensuring a warm and professional welcome. You will also support other Exact locations across the Benelux, occasionally travelling to Ghent, Bruges or Wemmel.

Key responsibilities

• Manage the reception area, telephone switchboard and visitor registration.
• Oversee day‑to‑day office operations and maintain a presentable work environment.
• Identify and implement facility‑related improvements for employee comfort.
• Contribute to emergency response plans and workplace safety initiatives.
• Provide cover for colleagues when needed and assist other locations as required.

Required profile

• Associate degree or equivalent, preferably in Hospitality or Office Management.
• Fluent French (required) and good English; Dutch is a plus.
• Professional, customer‑focused attitude with strong team spirit.
• Valid driving licence for occasional travel.
