Logistics & Administrative Assistant (On-site, Brussels)

About the role

Taymans Fine Gems is seeking a full‑time Logistics & Administrative Assistant to join its Brussels office. You will be the link between the warehouse, the sales team and external partners, ensuring that gemstone orders are processed accurately and that daily office operations run smoothly.

Key responsibilities

• Coordinate the daily flow of products: receive, organise, pack and prepare orders for shipment.
• Maintain accurate documentation and ensure proper record‑keeping for all shipments.
• Manage inventory records, update databases and track incoming and outgoing items.
• Handle general office administration: correspondence, appointment scheduling, filing and clerical support to management.
• Communicate regularly by phone and email with clients, suppliers and partners, providing timely responses to inquiries and special requests.

Required profile

• Strong administrative and clerical skills, including document management and data entry.
• Professional phone etiquette and clear written and verbal communication in English.
• Experience supporting senior‑level executives, with the ability to prioritise tasks and manage schedules.
• High attention to detail and organisational ability for inventory tracking and logistics coordination.
• Customer‑oriented mindset, reliability, discretion and integrity when handling valuable goods.
• Previous experience in logistics, retail, luxury goods or jewellery is an advantage; familiarity with gemstones is a plus.
• Ability to work on‑site full‑time in Brussels and collaborate effectively in a small specialised team.
