About the role
We are looking for a polished and proactive Legal Secretary/Receptionist to provide high‑level administrative support to a leading partner and associates in our Brussels office. The role combines front‑desk duties with comprehensive legal secretarial responsibilities, ensuring smooth daily operations for a top New York law firm.
Key responsibilities
- Provide general administrative support to the Brussels office and act as the first point of contact for clients.
- Manage lawyers' inboxes and diaries, handling gatekeeping and scheduling.
- Photocopy, scan, print, amend, convert and format documents, processing mark‑ups as required.
- Maintain archives and information storage in iManage.
- Assist with lawyer time recording and booking domestic and international travel.
- Order couriers, taxis and support invoice and expense submission via Chrome River.
- Liaise with secretaries in London and US offices and coordinate conflict checks and new matter openings.
- Oversee daily reception functions, including client liaison and visitor management.
Required profile
- Previous experience working in a legal firm is essential.
- Strong organisational abilities and a professional, courteous manner.
- Excellent communication skills with lawyers, clients and staff across multiple time zones.
Required skills
- Proficiency with iManage.
- Advanced knowledge of MS Word, Excel, PowerPoint and Outlook.
- Experience using Chrome River for expense and invoice processing.
