Legal Secretary / Reception – Brussels

About the role

One of the world’s leading New York law firms is seeking a polished and proactive Legal Secretary/Reception to provide high‑level support to a partner and associates in Brussels. The role combines client liaison, administrative duties and reception management in a dynamic, multilingual environment.

Key responsibilities

• Provide general support to the Brussels office, including client liaison and acting as gatekeeper for lawyers.
• Manage inboxes and diaries, handle document photocopying, scanning, printing and formatting.
• Maintain archives and information storage in iManage, and assist with lawyer time recording.
• Book domestic and international travel, arrange couriers and taxis, and support invoice and expense submission via Chrome River.
• Liaise with secretaries in London and US offices, conduct conflict checks and assist with opening new matters.
• Oversee daily reception functions and ensure smooth front‑desk operations.

Required profile

• Experience working in a legal firm is essential.
• Strong organisational skills and a professional, courteous manner.
• Excellent communication abilities with lawyers, clients and staff across multiple time zones.

Required skills

• Proficiency in MS Word, Excel, PowerPoint and Outlook.
• Experience with iManage document management system.
• Familiarity with Chrome River expense management platform.
