Group Meeting & Event Planner

About the role

The Group Meeting & Event Planner is the main point of contact for guests, the Event Booking Center and hotel operations, ensuring seamless planning, execution and follow‑up of group meetings, events and catering at Moxy Brussels City Center.

Key responsibilities

• Take over group bookings from the EBC, manage rooming lists and event documentation, and act as the operational liaison before, during and after each event.
• Coordinate deposits, invoicing, cut‑off dates and special requirements; liaise with front office, housekeeping, F&B and kitchen teams.
• Oversee GXP and Guest Planning Screen, verify reservation accuracy, and manage equipment rentals.
• Ensure accurate billing, manage deposits and payment schedules, and confirm commission amounts with the invoicing team.
• Host guests on‑site, follow up after events, respond to reviews and maintain strong guest relationships.
• Maintain up‑to‑date knowledge of hotel inventory, prepare group dining reservations and keep department heads informed of upcoming business.

Required profile

• Strong communication and interpersonal skills.
• Quick learner comfortable with online tools and systems.
• Minimum 1 year of experience in a similar events or group‑meeting role; experience with group meetings & events planning highly desirable.
• Familiarity with Marriott Bonvoy points tools and tour/leisure bookings is a plus.

Required skills

• Proficiency with Opera, Opera Sales & Catering, SFA and Microsoft Office.
• Experience with Symphony (optional).
