Senior Office Manager – Belgium

About the role

Fastned is expanding its presence in Belgium and needs an experienced Office Manager to ensure smooth operations at its Ghent and Brussels locations. You will combine practical organisation with a warm, people‑focused approach, creating welcoming, safe, and well‑equipped workplaces that reflect Fastned’s culture.

Key responsibilities

• Maintain clean, organised, and functional office spaces, handling facilities, maintenance, access, meeting rooms, furniture, supplies, post, waste and equipment.
• Coordinate with landlords, building management, cleaning teams and external suppliers, keeping processes and contacts up to date.
• Manage purchasing, invoices, orders and office‑related budgets, ensuring quality, cost‑effectiveness and sustainability.
• Support onboarding, visitor reception, team meetings, All‑Hands events and internal activities, adding a personal touch to everyday office life.
• Promote culture, inclusion and safety by working with local leaders, People team and HSE, addressing accessibility, dietary and workplace concerns.
• Assist with future workspace planning, parking, bicycles and charging infrastructure.

Required profile

• Proven experience in office or facilities management, preferably in a multi‑site environment.
• Strong organisational skills with the ability to spot issues and follow them through to resolution.
• Excellent communication and relationship‑building skills with internal teams and external suppliers.
• Attention to detail, proactive attitude and a service‑oriented mindset.
