VIP Coordinator for Art Brussels & Art Antwerp

About the role

Easyfairs Belgium is seeking a proactive VIP Coordinator to support its flagship art fairs, Art Brussels and Art Antwerp. Working closely with the Head of VIP Relations, you will help grow and nurture an international VIP community of collectors, curators, museum directors and institutional guests, ensuring a seamless, high‑quality experience before, during and after each event.

Key responsibilities

• Support the growth of the international VIP community.
• Coordinate VIP invitations, newsletters and follow‑up communications.
• Maintain and update the VIP database and CRM system.
• Arrange accommodation and travel for international VIP guests and internal team members.
• Organise guided tours, on‑site hospitality services and practical VIP arrangements.
• Act as the main point of contact for hotels, chauffeurs, guides and other external partners.
• Assist with VIP outreach, PR activities and the development of side programmes.
• Help plan kick‑off and prospecting events aligned with the 365‑Connect Strategy.

Required profile

• Bachelor’s degree with at least 1 year of relevant experience.
• Strong affinity for the art sector.
• Highly organised, detail‑oriented and proactive.
• Ability to manage deadlines, priorities and objectives independently.
• Solution‑oriented, flexible and calm under pressure.
• Discreet handling of sensitive information.
• Bilingual in Dutch and French, with good English proficiency.
