Transportation Administrator (International Shipments)

About the role

You will be the operational backbone for international shipments supporting our Proton Therapy centers worldwide. Working closely with Sales, Projects, Procurement, Production, Installation teams and external logistics partners, you will ensure transport operations are efficient, reliable and cost‑effective from feasibility to equipment delivery.

Key responsibilities

• Analyse transportation requests and gather all necessary data for compliant execution.
• Manage the full Request for Quotation (RFQ) process with carriers and subcontractors, comparing offers on cost, lead time and service quality.
• Plan, organise and book transport operations while respecting priorities, deadlines and regulatory constraints.
• Coordinate and monitor execution, adjust planning as needed and provide accurate status updates.
• Maintain relationships with carriers, suppliers and subcontractors; handle incidents, claims and queries.
• Ensure compliance with import/export and customs regulations.
• Create and manage Purchase Orders in SAP and process transport invoices within agreed timelines.
• Identify and implement continuous‑improvement initiatives for transportation processes.

Required profile

• Bachelor’s degree in Logistics, Supply Chain, Business Administration or equivalent experience.
• Junior level with 1‑2 years of logistics or transportation experience, preferably in an international environment.
• Fluent spoken and written English.
• Strong organisational skills, attention to detail and ability to manage priorities and urgent situations.
• Proactive, solution‑oriented mindset with good communication and interpersonal skills.
