Staff Assistant (TOPFAS Admin)

About the role

The TOPFAS Staff Assistant provides essential administrative support for the TOPFAS functional manager (FM) within NATO’s Supreme Headquarters Allied Powers Europe (SHAPE). Working in the Planning Support Branch, the incumbent ensures smooth user and data management across the TOPFAS system for SHAPE and Allied Command Operations (ACO) users.

Key responsibilities

• Operate under the direction of the TOPFAS FM.
• Create, update, delete, and manage user accounts, passwords, groups, roles and access privileges using the Users Management Tool (UMT).
• Maintain TOPFAS databases in line with FM directives, safeguarding historical data for analysis.
• Provide direct support to SHAPE TOPFAS users, updating access according to need‑to‑know policies.
• Collect, update and disseminate TOPFAS team products to the SHAPE and ACO user community.
• Arrange video teleconferences (VTCs) and meetings for the TOPFAS team.
• Assist TOPFAS functional managers in their day‑to‑day responsibilities.

Required profile

• Willingness to undertake temporary duty (TDY) assignments and deployments, including unsocial hours and periods exceeding 30 days.
• Ability to work in a normal NATO office environment.
• Flexibility to perform similar duties elsewhere within the organization at the same grade.
