Logistics Coordinator

About the role

We are looking for a detail‑oriented Logistics Coordinator to join Nyxoah’s Operations team in Milmort, Belgium. The role oversees the end‑to‑end flow of medical devices and related supplies, ensuring timely, compliant and cost‑effective distribution across domestic and international markets.

Key responsibilities

• Coordinate the RMA process, from ticket creation in the ERP system to receipt and transfer of returned products for investigation.
• Manage inbound and outbound shipments of medical devices, components and consumables, ensuring adherence to EU regulations and Good Distribution Practice (GDP).
• Liaise with freight forwarders, customs brokers and transport providers to optimise delivery performance.
• Maintain inventory levels in partnership with warehouse and planning teams.
• Monitor shipment status, proactively resolve delays and keep accurate shipping documentation (invoices, packing lists, certificates).
• Support product traceability and batch tracking to meet regulatory requirements.
• Collaborate with Quality Assurance, Regulatory Affairs and Customer Service on cross‑functional issues.
• Analyse logistics data and KPIs to identify process improvements and cost‑saving opportunities.
• Assist in audit preparation and ensure documentation is ready for compliance inspections.

Required profile

• Bachelor’s degree in Logistics, Supply Chain Management, Business Administration or a related field (preferred).
• Minimum 2 years of logistics or supply‑chain experience, preferably in MedTech, pharmaceutical or healthcare environments.
• Strong knowledge of international shipping, Incoterms and customs procedures.
• Familiarity with EU medical‑device regulations and GDP is a plus.
• Excellent organizational skills and attention to detail.
• Effective communication in English; French and/or Dutch are highly desirable.

Required skills

• Experience with ERP systems, preferably Microsoft Dynamics 365 (MD365).
• Proficiency with logistics tracking tools.
