About the role
The Executive Administrative Coordinator provides high‑level support to the Global President of Terumo Interventional Systems, ensuring smooth operation of a high‑visibility executive office across multiple time zones. Working remotely with occasional travel to Europe, you will collaborate closely with a counterpart in Japan and report to the Chief of Staff.
Key responsibilities
- Plan and execute end‑to‑end global travel itineraries, handling flights, accommodations, visas, ground transport and meeting logistics.
- Manage a complex, multi‑time‑zone executive calendar, gatekeeping meeting requests and protecting the President’s time.
- Coordinate virtual, hybrid and face‑to‑face executive meetings, including room bookings, material preparation, minute‑taking and follow‑up actions.
- Prepare and edit executive documents, presentations, meeting minutes and ad‑hoc reports with strict confidentiality.
- Handle expense reporting, purchase orders, vendor management, invoice tracking and budget follow‑up for the President’s cost centre.
- Provide ad‑hoc administrative support to the European executive team as needed.
Required profile
- Proven experience supporting senior executives in a global, multi‑time‑zone environment.
- Strong organizational and prioritization skills with the ability to manage complex schedules.
- Excellent communication and stakeholder‑management abilities.
- High attention to detail and discretion when handling confidential information.
