Event Planner Coordinator

About the role

As an Event Planner Coordinator at Penta Hotel you will be the central point for group bookings and event execution. You will work closely with sales and event development specialists to turn client wishes into seamless stays and memorable events.

Key responsibilities

• Lead group bookings, ensuring all details are communicated to the Sales & Event Development Specialist.
• Act as a connector between proactive sales teams and event specialists.
• Maintain direct contact with organizers, clarifying requirements and translating them into well‑executed events.
• Support sales through research, prospecting and client follow‑up.
• Manage contracts, checklists and other behind‑the‑scenes tasks, especially during busy periods.
• Continuously look for improvements and more efficient ways of working.
• Communicate fluently in Dutch, French and English to serve a diverse client base.

• Clear communicator, both in written emails and team calls.
• Team player who brings structure to shared projects.
• Calm and adaptable, able to adjust quickly when plans change.
• Motivated and curious, eager to learn and accept feedback.
• Proactive, taking initiative to reach new contacts and follow up.
• Comfortable using Microsoft Office and other administrative tools.
• Culturally aware, thriving in an international environment.
