About the role

We are looking for a Customer Care Assistant (OPE) to join our Customer Care and Supply Chain team in Wavre, Belgium. Reporting to the OPE Supply Chain & Customer Care Manager, you will be the main point of contact for customers, handling calls, emails and order processing while ensuring smooth coordination with internal and external partners.

Key responsibilities

  • Coordinate relations between service providers and internal departments to ensure correct sales execution.
  • Manage invoicing, customer credit notes, credit limits and dispute resolution.
  • Handle administrative aspects of import/export, including invoices and legal documents.
  • Ensure compliance with quality, delivery standards and best practices throughout the sales process.
  • Maintain the link between the sales team and support functions.
  • Collaborate with purchasing, accounting, logistics, finance, sales, IT and other departments to pass on accurate administrative information.
  • Work with logisticians and carriers to schedule deliveries, reserve trucks and meet delivery deadlines.

Required profile

  • Bachelor’s degree or equivalent experience in an executive assistant or related role.
  • Minimum 5 years of experience in customer care, order entry, tracking and claims management.
  • Good understanding of logistics, stock availability, order preparation and road transport.
  • Excellent oral and written communication skills in French and English (minimum B1 level).
  • Customer‑oriented mindset with strong interpersonal and facilitation abilities.
  • Team player comfortable in a multicultural environment, autonomous, rigorous and well‑organized.
  • Curious, eager to learn and strong analytical skills.

Required skills

  • Proficiency with Office 365 suite (Outlook, Teams, advanced Excel).
  • Comfortable using general IT tools.
