Travel & Customer Care Assistant

About the role

We are looking for a dynamic Travel & Customer Care Assistant to join a leading international agency in Brussels. You will work within a dedicated team that supports a high‑profile European project, ensuring smooth travel arrangements and premium assistance for participants.

Key responsibilities

• Respond to participant enquiries via email and chat, meeting internal service level agreements.
• Coordinate travel bookings, handle special cases such as accessibility needs, lost tickets, and re‑bookings, and keep accurate tracking records.
• Troubleshoot participant ID verification and process expenses and supplier invoices.
• Use internal web applications, ensure GDPR‑compliant data handling, and act as an EMAS Ambassador to promote sustainability.

Required profile

• Strong service mindset, proactive, highly detail‑oriented.
• C1/C2 level English; fluency in German, Dutch or Polish is a strong plus.
• Excellent time‑management and ability to prioritize under pressure.
• Legally eligible to work full‑time (40 h/week) in the EU.
