Sales Coordinator – Hospitality & Group Bookings

About the role

The Sales Coordinator supports the sales team in a hospitality environment, handling group bookings, contracts and client communications. This role blends customer service with strong organisational and administrative abilities to ensure smooth execution of sales processes.

Key responsibilities

• Prepare contracts, addendums and proposals with high accuracy.
• Communicate professionally and promptly with clients.
• Coordinate group bookings with Sales Managers and update changes in the property systems.
• Set up billing for each group and enter data into Sales, POS and Event Management systems.
• Assist with individual reservations that qualify for special rates.
• Generate and maintain group reports and bookings.
• Handle administrative tasks such as typing, answering phones and correspondence.
• Capture leads via phone and email, process them in the sales system, and act as a lead catcher for RFPs.

Required profile

• Minimum 2 years experience in the hospitality industry.
• Bachelor’s degree in hospitality preferred.
• Strong understanding of customer and market dynamics.
• Excellent communication, detail‑orientation and follow‑up skills.
• Ability to handle difficult situations diplomatically while maintaining professionalism.
• Flexible schedule – availability to work evenings, weekends and holidays.
