PBX Operator – Hotel Front Desk Telephone Specialist

About the role

The PBX Operator is the primary point of contact for all incoming telephone communications at the hotel. You will ensure a professional, friendly, and efficient experience for guests, handling calls, messages, and in‑room dining orders while supporting the front desk and management teams.

Key responsibilities

• Answer all telephone calls within three rings, projecting a positive hotel image.
• Maintain an alphabetical backup report of all guests and manage message lights throughout the shift.
• Deliver messages to guest rooms, record wake‑up calls, and distribute faxes to appropriate departments.
• Assist guests with dialing instructions, credit‑card calling procedures, and other telephone information.
• Provide long‑distance charge reports to the front desk and produce departmental reports.
• Monitor and test trunk lines to ensure proper telephone system functionality.
• Take in‑room dining orders over the phone and coordinate with servers and the kitchen.
• Support emergency communication protocols and safety‑deposit‑box assignments.

Required profile

• High school diploma required; hospitality degree preferred.
• Minimum 1 + year front‑of‑house experience in a luxury hotel or resort.
• Ability to work under pressure during high‑arrival periods.
• Flexible schedule – evenings, weekends, and holidays required.

Required skills

• Familiarity with hotel property management systems such as Opera, Hotsos, and Kipsu.
