About the role
We are looking for an Office Coordinator to provide administrative support to the owner and office manager of Giacomo Moda, a dynamic women’s fashion wholesaler based in Brussels. The role is the main point of contact for internal and external communications and ensures smooth daily operations.
Key responsibilities
- Provide administrative support to the company owner and office manager.
- Serve as the primary point of contact, filtering emails and phone calls.
- Draft correspondence and emails in Dutch, French, and English.
- Manage various company mailboxes.
- Support colleagues in using the ERP system.
- Assist the Office Manager with personnel (HR) administration.
- Follow up on specific key‑account files.
- Handle returns from A to Z for customers and suppliers.
- Manage small purchases such as office supplies and water.
- Create reports and provide weekly updates.
- Perform various ad‑hoc administrative tasks and file management.
Required profile
- Customer‑oriented with strong communication skills.
- Precise and accurate work style.
- Highly mature and discreet.
- Can‑do attitude with initiative.
- Strong organizational skills, unfazed by last‑minute changes.
- Fluent in Dutch, French, and English (spoken and written).
- Several years of experience in a similar role.
Required skills
- Microsoft Excel (including pivot tables).
- Microsoft Office suite.
- Experience using ERP systems.
