Maintenance Operations Assistant (Real Estate)

About the role

You will own the daily engine of the maintenance operation, handling every ticket from intake to invoice-ready. This is not a classic dispatcher role – our back-office is highly automated, with tickets flowing from client platforms and an AI layer drafting triage assessments and client replies for your review.

Key responsibilities

• Triage incoming tickets by urgency, category and approval needs.
• Plan and dispatch technicians, schedule visits with tenants and confirm access.
• Act as the single point of contact for B2B clients on maintenance matters.
• Set up reminders, chase tasks and ensure no ticket remains idle.
• Source and purchase parts and equipment online, balancing cost and speed.
• Maintain data quality on hours, materials, photos and reports for invoicing and audits.
• Prepare monthly invoicing cycles with finance, applying correct VAT per building.
• Run the quote pipeline, turning diagnostics into quotes and flagging commercial opportunities.
• Review, edit and approve AI-drafted communications before they are sent.

Required profile

• 3+ years experience in property, facility or technical building management.
• Strong knowledge of building-maintenance to challenge estimates and discuss issues with technicians.
• Highly detail-oriented with rigorous numerical accuracy.
• Structured, process-driven and comfortable documenting and escalating tasks.
• Fluent in French and English, both spoken and written.
• Comfortable making proactive phone calls to tenants and clients.
• Commercial awareness of ticket revenue and client pricing terms.
• Curiosity about AI tools and willingness to shape their usage.
