HR Administration Specialist

About the role

We are looking for an HR Administration Specialist to support our operations in Belgium. You will ensure that employment contracts, payroll processes and employee records comply with Belgian labour legislation while providing day‑to‑day HR guidance to staff.

Key responsibilities

• Administer employment contracts and maintain personnel files in line with Belgian labour law.
• Support payroll operations together with external payroll providers.
• Guide employees on benefits, leave, working time, social security and internal policies.
• Manage onboarding and off‑boarding processes for Belgian staff.
• Prepare HR reports, metrics, policies and procedures.
• Assist performance‑management and employee‑engagement initiatives.
• Coordinate absence management, time‑tracking and employee documentation.
• Ensure accurate maintenance of HR systems and employee records.

Required profile

• Bachelor’s degree in Human Resources, Law, Business Administration, Economics or a related field.
• Minimum 2 years of experience in HR Administration or as an HR Generalist supporting Belgium.
• Strong knowledge of Belgian labour law, collective labour agreements and social‑security regulations.
• Experience working with external payroll providers and coordinating payroll.
• Fluent English; French and/or Dutch are a strong advantage, Polish a plus.
• Excellent communication, problem‑solving abilities and high discretion.

Required skills

• HRIS (Human Resources Information System) proficiency.
