Conference Services Manager – Catering & Events

About the role

The Conference Services Manager (CSM) acts as the primary operational liaison between clients and all hotel departments for group events. Reporting to senior management, the CSM oversees the full event lifecycle—from contract turnover to final billing—ensuring exceptional guest experiences while protecting profitability.

Key responsibilities

• Develop and execute comprehensive conference and event plans for meetings, incentive programs, board meetings, weddings, galas, VIP events and more.
• Serve as the main point of contact for clients from contract signing through event departure, building strong relationships and delivering personalized service.
• Translate sales contracts into detailed operational plans and create Group Resumes covering itineraries, space assignments, timelines, menus, AV requirements, transportation and vendor logistics.
• Prepare, revise and distribute accurate Banquet Event Orders (BEOs) to all relevant departments within required deadlines.
• Coordinate logistics with internal teams (F&B, Culinary, Banquets, Housekeeping, Front Office, Engineering, Security, Spa, Transportation, Finance, AV) and external vendors (DMCs, entertainment, décor, rental companies).
• Monitor room block performance, pickup rates, attrition and inventory, communicating changes to Sales, Revenue Management and Reservations.
• Track contracted minimums for rooms, food & beverage, meeting space, AV and ancillary revenues, identifying upselling opportunities.
• Analyze client requests, propose creative solutions and ensure compliance with hotel policies and profitability targets.

Required profile

• Proven experience managing complex, high‑end group programs in a hotel or resort environment.
• Strong client‑facing skills with the ability to build lasting relationships.
• Excellent organizational and analytical abilities to manage multiple departments and detailed event documentation.
• Ability to work under pressure, meet tight deadlines and adapt to changing client needs.
